A Beginner’s Guide – Event Planning

First time planning an event? Beginning to panic as the pressure sets in?! Don’t worry, we’re here to help. It’s just a case of getting everything sorted well in advance, and having a contingency plan just in case.

Sorting the tone

You presumably know what the event is that you’re organising, but is it going to have any sort of unique selling point to get people to attend? Is it for charity? Is there a dress code? A lot of your decoration and the sorts of furniture you’re going to need to hire will be dictated by the tone of your event. Do you need sofa hire or dining chairs? Will people be socialising or listening to a speaker? The event itself will give you a lot of clues to how you’ll need to plan it.

Gathering all the ingredients

Just like baking a cake, it all becomes a lot easier if you get all the things you’re going to need for your event into one place. You’ll be able to make sure you have everything, and if need be you’ll be able to gather any more ingredients which you’re missing. For a lot of events, seating is one of the biggest jobs to sort. As you’re not likely to have a lot of bits of furniture lying around which you can use for any and every occasion, rental companies are the event planner’s best friend. Anything from sofa hire to the little finishing touches which set the tone of your event can be rented, and you’ll be able to do so much cheaper than you’d be able to buy the things for.

Furniture?! What furniture?

Why would you need a sofa? Sofa hire is an excellent way of creating a relaxed atmosphere in your venue. Through sofa hire, you can create little areas where people can sit and talk. You can curl up, and a sofa creates a more relaxed sitting environment than dining chairs will. Think about a speed dating event for example. You’re going to need tables and chairs for the dates themselves, but often there’s time and space afterwards so that people who’ve hit it off can continue the conversation (and keep buying drinks from your brand new shiny bar). The tables and chairs will feel a little regimented but sofa hire will let people get comfy and relaxed.

As long as you’ve got all the right ingredients, your event is bound to be a success.

Finishing touches

We’ve already mentioned that you can hire the finishing touches for your project from a number of sources, but what sort of things should you be looking for? Sometimes small details like this are a bit of a throw away item, and it can even be cheaper to buy than to rent them. Table decorations and balloons are fairly basic finishing touches, but if you’ve got a theme you can use lots of little bits and pieces to perfect the look of your event. Use your imagination, and give your guests an event to remember.
